Incumbent serves as a Medical Clerk for the Health Department, responsible for providing clerical support to department personnel, maintaining accurate records, and assisting the public.
Greets and assists office visitors, including scheduling appointments, signing patients in and out, updating patient records and insurance information, releasing copies of shot records to patients who fill out record release forms, preparing charts for care providers, and ensuring proper patient flow for Health Clinic.
Answers telephone/switchboard, responding to inquiries, taking messages, and directing calls to appropriate department or individual.
Performs various clerical tasks, including entering patient data into computer, updating medical records, inserting certification codes, labs, x-rays, physician and/or hospital reports into patient charts, preparing charts for next-day clinic and/or care provider, and sending medical records when requested by other medical facilities and/or agencies.
Files claims and bills Medicaid, Medicare, and insurance agencies as required, mailing statements to patients with balances.
Collects and processes money received for services, posting payments to patient accounts, investigating unpaid claims, and responding to billing inquiries in person and via phone.
Prepares daily schedules for doctors, nurses and Immunization Clerk, including appointments, cancellations and additions. Signs in labs, blood pressure checks and weight checks.
Maintains statistics for Office Coordinator and prepares daily reports for billing office, including printing super bills, tally sheets for failed appointments, and daily schedule of times doctors finish seeing patients.
May serve as Community Health Worker, providing personal contact, support, education, and counseling to high-risk pregnant women to promote and protect their health.
Processes, sorts, and distributes mail.
Maintains current knowledge on Medicaid, Medicare, and procedure codes through internet, updates and bulletins.
Attends training and seminars as required.
Performs related duties as assigned.
Job Type: Full Time
High School diploma or GED.
Working knowledge of standard office practices, basic computer skills, and medical terminology, and the ability to apply such knowledge to a variety of interrelated processes, tasks, and operations.
Working knowledge of standard English grammar, spelling and punctuation, and ability to prepare patient charts and written reports as required.
Ability to properly operate a variety of standard office equipment, including computer, telephone/switchboard, calculator, postage meter, typewriter, fax machine, copier, and shredder.
Ability to effectively communicate orally and in writing with co-workers, other County departments, Wayne County Division of Family and Children, Medicare, Medicaid, insurance companies, and the general public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.
Ability to comply with all employer and department policies and work rules, including but not limited to, attendance, safety, drug-free workplace and personal conduct.
Ability to compare or observe similarities and differences between data, people or things.
Ability to compile statistics and prepare related reports accordingly.
Ability to analyze and evaluate data, make determinations, and present findings in oral or written form.
Ability to understand, memorize, retain and follow oral or written instructions.
Ability to compute/perform arithmetic operations, such as counting and processing money received and posting payments to patient accounts.
Ability to file, post, mail materials, and maintain organized files.

Ability to work rapidly for long periods, under time pressure, and on several tasks at the same time.
Ability to apply knowledge of people and locations.
Ability to plan and layout work projects.
Ability to competently serve the public with diplomacy and respect, including occasional encounters with irate/hostile persons.
Ability to occasionally work extended and evening hours, and occasionally travel out of town for seminars, but not overnight.
Possession of a valid driver’s license and demonstrated safe driving record.
